Reports
r4ptor has four reports, all accessible from Admin → Reports.
Club Health
The main dashboard report. Shows a snapshot of how your club is doing right now — who to celebrate, who needs a check-in, and a month-by-month attendance summary.
Go to Reports → Club Health.
Monthly attendance summary
At the top of the page, a month selector (← →) lets you browse any past month. For each class that held sessions that month:
- Sessions held and overall group attendance %
- Perfect attendance — students who attended every session
- High attendance — students at 75–99%
- SOW winners that month
- New joiners who started that month
Tap a class card to expand its breakdown.
Trial Pipeline
A card showing leads created this month, lifetime conversion rate, and a breakdown by pipeline status — so trial-lead activity, a leading indicator of club health, is visible alongside attendance rather than only in the New Starter Pipeline itself.
Health alerts
Below the monthly summary, six alert panels surface students who need attention or recognition — all based on the last 12 sessions (rolling, not month-bounded):

Each panel shows a count badge and expands to list the individual students with their relevant metric.
A known absence — marked in the register when the instructor was told about it in advance — never triggers Lapsed or At risk on its own; only unexplained gaps do. Streaks and Most improved are unaffected either way. The attendance % and miss-count shown on a flagged student is always their real, unadjusted figure — only the decision to flag them changes.
The Lapsed and At risk lists are the ones to act on. Open a student's profile directly from the alert card, then use Send Comms to reach out.
Student of the Week
The SOW report shows the full GOLD award history per class, in reverse chronological order.
Go to Reports → Student of the Week.
Each class is shown as an accordion — tap to expand. Awards are listed by date showing the student name and class.
SOW can only be awarded to students marked present in that session. See Taking the Register for how to award SOW during a session.
Sash Order
A pre-ordering tally for an upcoming grading — how many of each sash colour to order, based on who's actually up for grading, not just who's active.
Go to Reports → Sash Order.
Only students marked Eligible for next grade (set on the student profile or in bulk from People — see People) are counted. The tally is always the sash a student is due next, not their current grade — a White-graded student due to grade counts towards White/Bronze, for example.
Two views:
- By Branch — one number per sash colour, combined for the whole school
- By Class — the same tally split per class, useful when you run more than one class of the same student type
Each view also includes a Total row across all sashes.
If two student types (e.g. Juniors and Teens) use exactly the same grade sequence — same sash names, same order — the By Branch view combines them into one section rather than showing two identical-looking lists you'd have to add up by hand. Student types with a genuinely different syllabus (Adults, Snakes & Cranes) are never combined. This is detected automatically from your actual curriculum, so it works the same way for any club's setup.
Eligibility resets to off automatically whenever a student's grade actually changes, and club-wide when a Grading Day is completed — so eligibility never silently carries over and inflates a future order.
Staff Fees
Shows staff pay for the current month and last month.
Go to Reports → Staff Fees.
For each staff member who was marked present in at least one session:

A minimum of 1 hour is charged per session regardless of class duration — so a 45-minute class still counts as 1 hour of pay.
Staff rates are set on each staff profile. Go to People → Staff to update them.
A session that was merely opened (e.g. checking the wrong day by accident) but never had a register taken doesn't count towards a staff member's sessions or pay — only sessions where Class held is genuinely on are counted. If the report finds a session where a staff member was marked present but the class was never actually held, it's excluded from the total and flagged on the report by staff name and date, so you can correct the record at the source instead of the discrepancy resurfacing every month.
